Privacy Policy

This Privacy Policy explains how the VeldWag service ("VeldWag", "we", "us" or "our") processes personal information when users access VeldWag, communicate with VeldWag, or use connected services such as WhatsApp.

VeldWag is intended primarily for agricultural and livestock-management use.

1. Information we may process

Depending on how VeldWag is used, we may process:

• account information, such as a user's name, user identifier and organisation membership;
• contact information, including email address, mobile number and WhatsApp identifier;
• access and permission information, including organisation and farm roles;
• messages and instructions sent to VeldWag, including messages received through WhatsApp;
• message identifiers, timestamps and delivery information required to process communications reliably and prevent duplicate actions;
• security, audit and activity records relating to actions performed through the service;
• technical information reasonably required to operate, secure and troubleshoot the service;
• farm and livestock information entered or generated through the service.

Livestock and farm operational records are generally business or agricultural data rather than personal information. However, such information may be linked to an identifiable user or organisation and is protected accordingly where applicable.

2. WhatsApp communications

Where a user communicates with VeldWag through WhatsApp, VeldWag may receive information supplied through the WhatsApp Business Platform, including the sender's WhatsApp identifier or telephone number, message content, message identifiers, timestamps and related delivery information.

This information is used to identify authorised VeldWag users, process communications, prevent duplicate processing, maintain security and audit records, and provide requested VeldWag functionality.

WhatsApp and Meta process information under their own applicable terms and privacy policies. VeldWag does not control Meta's independent processing of information.

3. Why we process information

We may process information for purposes including:

• creating and administering VeldWag accounts;
• authenticating users and enforcing access permissions;
• providing livestock and farm-management functionality;
• receiving and processing authorised messages and instructions;
• maintaining transaction, security and audit records;
• detecting misuse, fraud, duplicate requests or security incidents;
• providing support and troubleshooting;
• maintaining and improving the reliability and security of the service;
• complying with applicable legal and regulatory obligations.

4. Lawful processing

VeldWag processes personal information only where permitted by applicable law, including the South African Protection of Personal Information Act, 2013 ("POPIA"), where applicable.

Processing may be necessary to provide the service requested by the user or organisation, to protect legitimate operational and security interests, to comply with legal obligations, or on the basis of consent where consent is required.

5. Sharing of information

VeldWag may share information only where reasonably necessary for operating the service, including with:

• hosting, infrastructure and technology service providers;
• communications providers such as Meta and WhatsApp where those services are used;
• authorised service providers acting on our behalf;
• professional advisers where reasonably required;
• regulators, courts or law-enforcement authorities where disclosure is lawfully required.

VeldWag does not sell personal information.

6. International processing

Some technology or communications providers may process information outside South Africa. Where cross-border processing occurs, VeldWag takes reasonable steps to use service providers and arrangements appropriate to the information being processed and applicable legal requirements.

7. Data retention

Personal information is retained only for as long as reasonably necessary for the purpose for which it was collected, for operation and security of the service, to maintain appropriate audit records, or as required by applicable law.

Certain operational, audit, security or transaction records may need to be retained after an account is closed where retention is necessary to protect the integrity of the service, establish or defend legal rights, meet regulatory obligations, or preserve records belonging to an organisation.

8. Security

VeldWag uses reasonable technical and organisational safeguards designed to protect information against unauthorised access, loss, misuse, alteration or disclosure.

No electronic system can guarantee absolute security. Users must protect their own account credentials and devices and must not permit unauthorised persons to use their VeldWag access.

9. Your rights

Subject to applicable law, a person may request:

• confirmation of whether VeldWag processes personal information about them;
• access to applicable personal information;
• correction or updating of inaccurate personal information;
• deletion of personal information where deletion is legally and operationally appropriate;
• objection to certain processing where applicable.

VeldWag may need to verify the requester's identity before acting on a request.

10. Organisation and farm records

Where a VeldWag user acts on behalf of a farm, company or other organisation, operational livestock records may belong to or be controlled by that organisation.

Deleting an individual user's account does not necessarily require deletion of legitimate business, livestock, audit or transaction records belonging to that organisation, although the individual's personal identifiers will be handled in accordance with applicable law.

11. Children

VeldWag is intended for business and agricultural operations and is not directed at children.

12. Changes to this policy

We may update this Privacy Policy when VeldWag's services, technology or legal obligations change. The effective date at the top of this page will be updated when material changes are published.
